Club Policies and Procedures

Wedding reception capacity up to 230 guests. Room capacity DOES take into consideration: Dance floor, Head table, Cake table, Gift table, Name card table & Bar. Room Rental: The $850 room charge includes entire reception space. Smaller reception spaces are available for $600 or $250 depending on space required. Set up, tear down, linen table cloths, linen napkins, glassware, silverware, table & chairs for the wedding reception are all included in the room rental cost. Deposits: A non-refundable deposit is required to secure the date requested. $850 for all weddings and large functions utilizing the entire banquet space. The deposit is applied as a credit towards the final bill. Guarantees: Please notify the catering office five business days prior to your function with the guaranteed number of guests that will attend. If the guarantee is not submitted, you will be billed for the estimated number of guests agreed upon on the Catering Event Order, if a greater number than actual attendees. Prices: The prices on our catering menu, due to market conditions, are subject to change without notice. Once the menu is selected, a price can be confirmed 45 days prior to your event. If more than one entrée is selected for your function it is also required for you to provide coded place cards for each guest to determine meal selection. All menu prices are subject to a 18% service charge and a 6.75% state sales tax for food and a 9.25% state sales liquor tax. Food Tasting: The catering department will be happy to arrange a trial tasting. Trial dinners are not complimentary and applicable charges will be added to your event contract. Food Regulations: Due to health department regulations and club policy, the club must prepare food and beverage consumed on the premises. Club policy also prohibits removal of beverages or extra buffet food from the club premises. Alcohol Regulations: As host of an event at Hastings Country Club, you are accountable for the behavior of your guests.  Please assist our staff in enforcing responsible drinking behavior.  Any expenses incurred while enforcing this policy will be the responsibility of the host. No liquor will knowingly be sold to or consumed on Club premises by any person under legal drinking age. Picture identification may be requested of any person. No liquor will knowingly be sold to or is to be consumed on Club premises by individuals who appear intoxicated. If either of the above incidents occur, an appropriate staff member will proceed to tactfully correct the situation as the first correction. Wedding / Birthday Cakes: You are welcome to provide your own cake. Hastings Country Club is pleased to offer Complimentary Cake-cutting service. Decorations and Linens: The Club will not permit the affixing of anything to the walls, floors, ceilings or outdoor poles with nails, staples, tape or other substance unless prior management approval. Hastings Country Club provides White, Black or Ivory linen tablecloths and napkins at no charge. Napkins are available in Black, White or Ivory. The following centerpieces are also available at additional fees:  Rose Bowl $6.50, Bud Vase with Flowers $5.50, Mirror Tiles $1.50, Votive Candles $.50. Music and Entertainment: The catering department allows you to make your own arrangements. All bands or DJ’s must set up prior to the arrival of your guests. The club does not provide a meal for entertainers. All entertainers must end by 12:00 a.m. & all entertainers or persons connected with the entertainers are not allowed to consume alcoholic beverages while on club property. Audio – Visual Requirements: The club will provide one podium and one wireless microphone at no charge. Additional audio visual needs can be rented by a preferred vendor of choice with all charges passed on to you. No Smoking Policy: The entire clubhouse is smoke free. Your guests are not permitted to smoke anywhere inside the club. Smoking is permitted outside the entrance to the clubhouse or on the veranda. Ashtray receptacles are provided outside for your guests to use. Clean Up: Hastings Country Club reserves the right to add-on appropriate cleaning charges if the condition of the room after the event makes this necessary. Any damage to club property caused by an attendee, performer or set–up person shall be the responsibility of the host of the party. The cost of any repairs will be billed to the host of the party.  The club will not assume any responsibility for damage or loss of any merchandise or articles left on the premises before, during, or after your function.
